Paper Submission Guidelines

Final manuscript submission deadline: October 21(Extended Deadline), 2016 — the whole procedure described herein (5 steps) must be finalized by this date.

Final manuscript submission consists of the following steps:

  1. Final Manuscript preparation
  2. IEEE PDF eXpress validation
  3. Paper registration
  4. Copyright form submission
  5. Final manuscript upload


  1. Final Manuscript preparation

This section provides guidelines regarding acceptable manuscript applications, layouts, fonts, graphics and copyright notice addition.

  1. Applications: Please use Microsoft Word or LaTeX to create your document. Note: A DVI (DeVice Independent file) and all image files (as .eps files only) are required for LaTeX submissions. For TeX tools, see
  2. Templates: The use of the corresponding for Microsoft Word and LaTeX templates provided by IEEE is suggested (available at
  3. Headers, footers, page numbers, bookmarks, form fields and links: None of them should appear on your manuscript.
  4. Graphics and Images:
    • — Choose vector graphics (e.g., .eps) over bitmap (.bmp) images because they are electronically efficient and will not conflict with conversions to PDF.
    • — For source LaTeX submissions (see step 3), all images must be in .eps format
    • — Resolution should be 300 dpi.
    • — Labels within graphics should have a type point size of no less than 4.
    • — Smoothing of Graphics should not be used as it often produces extremely large files with slow loading time.
  1. IEEE PDF eXpress validation

It is mandatory for authors to validate their final PDF manuscripts with IEEE PDF eXpress in order to ensure IEEE Xplore compatibility.

First-time users should do the following:

  1. Go to the IEEE PDF eXpress login page
  2. Select the “New Users – Click here” link and enter the following:
    • — conference ID: 35521XP
    • — your email address
    • — a password
  3. Continue to enter information as prompted

An online confirmation will be displayed and an email confirmation will be sent verifying your account setup.

Previous users of PDF eXpress need to follow the above steps, but should enter the same password that was used for previous conferences. Verify that your contact is valid.

In addition to PDF validation, you can use this site to convert your source files into an IEEE Xplore-compliant PDF file (e.g., for LaTeX users, create a zip file that includes dvi and your eps figure files all together, and then upload the zip file for the system to convert into a compliant PDF file; for MSWord users, upload the Word file and let it convert and return a compliant PDF file).

  1. Paper Registration

All papers should be registered before final manuscript upload using the instructions and options given in Registration menu. Unregistered papers will not be allowed to present in the conference nor will be published in the Conference Proceedings.

  1. Copyright form submission

IEEE policy requires that, prior to publication, all authors or their employers must transfer to the IEEE any copyright they hold for their individual papers. An IEEE Copyright Form must be submitted for each paper.

  1. Final manuscript upload

Final manuscript upload takes place through PaperPlaza and will be accepted only if the above mentioned four steps have been followed to the letter. In case that the PDF file cannot be uploaded due to errors, the authors are advised to review the error report carefully and make the necessary corrections. This will require a new PDF eXpress validation procedure to be applied (step 3) before uploading anew.
